# Sending Emails to Capture

Often times, invoices stored as PDF documents or scanned images are attached to emails and reside within an email inbox. This can sometimes make it inconvenient to later find and save those files to be manually submitted into DX2 Capture.

To make this process easier, you can submit files as email attachments to an email address unique to your Trading Partner. All files submitted to this email address will be processed as Capture files, and will work much the same as do file uploads through the DX2 Portal.

Capture emails

You may send the same types of files as email attachments as with uploading files through the DX2 Portal. To learn more, see Files in Capture.

To create a Capture document via an email attachment, send an email to the following address:

{your-custom-url-name}@files.dx2.com

TIP

PNG and JPEG email attachments that are less than 20 KB (or 20,000 bytes) will be ignored by DX2 Capture. This is done to avoid capturing extraneous content such as company logos found in email footers.

# What Is My Custom URL?

To find the custom URL that defines your Trading Partner's personalised Capture email address, follow these steps:

  1. Navigate to the My Company area in the DX2 Portal.
  2. Click the pencil icon in the top-right corner of your company header image.
  3. In the following dialog, take note of the value in the Custom Url Name field.

WARNING

You can change this field at any time. However, it is advised that you first check with your system/DX2 administrator before doing so, as this will affect all Users who use this email address and assume its current validity. Sending Capture attachments to an invalid email address will not produce any Capture files for your Trading Partner.

# Who Can Send Emails?

Anyone can send emails to your Trading Partner's unique Capture email address. No verification is performed on the sender's email address, and therefore Capture file processing from emails is unrestricted.

As a result, you are advised to only distribute this email address to authorised parties. While this address can be changed in the event of unauthorised use or exposure, this can be disruptive to members of your Trading Partner, and should be considered as a last resort.

# Is There a Limit to Sending Emails?

There is no upper limit on the timing, quantity, or size of emails you can send to your unique Capture email address. However, it is recommended that you take appropriate steps to ensure that your files are as small as possible. This allows file processing to complete in less time, which makes your Capture files available sooner.
